BARS Training Australia is committed to handling and protecting your personal information in accordance with the Information Privacy Act 2009 (Qld) and the Queensland Privacy Principles (QPPs), including QPP?5.0 through 5.2.

This information is collected directly from you when you apply or enrol in any course listed on the BARS Training Australia website.

Why we collect it
To assess your suitability for the course, process enrolments, manage your progress, arrange funding claims, certify completion, and meet compliance and reporting obligations under the state and commonwealth regulations.

Is collection mandatory?
Yes. Without this information, we are unable to fund your training, process your enrolment, or certify your completion under the course’s contractual requirements.

Consequences if you don't provide it
We will be unable to enrol you and / or conduct funded training as per our legal obligations.

Who we share it with
We may disclose your personal information to:

  • Department of Trade, Employment and Training (for funding compliance and audit)
  • Regulatory authorities (such as ASQA, VET regulators)
  • Contracted service providers (e.g. RTO administration systems)

No — your personal information will only be held and processed within Australia.

The Epic Story
BARS Training Australia Pty Ltd (BARS) (ACN 62 131 471 527) is a Registered Training Organisation (RTO) 32061 that is committed to ensuring that:

  • Confidential and personal information provided to us by course participants is collected and treated in a manner which protects the privacy of that information on behalf of the participant and/or their employer;
  • Participants are able to access their training records, such as but not limited to, Statements of Attainment, Qualifications, Record of Results and Verification of Competency Certificates; and
  • Information pertaining to participants is not disclosed to a third party without the consent of the participant.

BARS acts in accordance with the Information Privacy Act 2009 (Qld), which includes the Privacy Principles.  BARS also complies with provisions of the federal Privacy Act 1988, other associated legislation and related Privacy Principles as well as any other regulatory body requirements for the collection and treatment of private information relating to students, staff and contractors.
The data collected by BARS primarily relates to student information collected and recorded as per the requirements of the Australian Skills Quality Authority (ASQA) and other regulatory bodies.

Collecting Personal Information 
BARS ensures that privacy collection notices are included at every point of data entry, informing individuals of the purpose of data collection and their rights under the Information Privacy Act 2009 (Qld).
As an RTO, we collect your personal information so we can process and manage your enrolment in a vocational education and training (VET) course with us.  If you do not provide the information required, we will not be able to enrol you as a student into the course.
Under the Data Provision Requirements 2012 and the National VET Data Policy, BARS Training Australia is required to collect and report AVETMISS-compliant data to the National VET Provider Collection, administered by NCVER, for all nationally recognised training delivery.
This data is held by the National Centre for Vocational Education Research Ltd (NCVER), and may be used and disclosed for the following purposes:
Populate authenticated VET transcripts;

  • Facilitate statistics and research relating to education, including surveys and data linkage;
  • Pre-populate RTO student enrolment forms;
  • Understand how the VET market operates for policy development, workforce planning, and consumer information; and
  • Administer VET, including program delivery, regulation, monitoring, and evaluation.

You may receive a student survey administered by a government department, NCVER, or their authorised representatives, including employees, agents, or third-party contractors. You may opt out of the survey at the time of being contacted.
NCVER will collect, hold, use, and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the National VET Data Policy, and all NCVER policies and protocols (as published at www.ncver.edu.au).

Requiring identification
BARS must confirm identification in service delivery to individuals for nationally recognised course programs. We are authorised by Australian law to deal only with individuals who have appropriately identified themselves. That is, it is a Condition of Registration for all RTOs under the National Vocational Education and Training Regulator Act 2011 that we identify individuals and their specific individual needs on commencement of service delivery and, collect and disclose Australian Vocational Education and Training Management of Information Statistical Standard (AVETMISS) data on all individuals enrolled in nationally recognised training programs. Other legal requirements, as noted earlier in this policy, also require considerable identification arrangements.

Sensitive Information
As per the Queensland Privacy Principles (QPPs), sensitive information is only collected when absolutely necessary and will be handled with the highest confidentiality. Collection and use of this data is reviewed periodically to ensure continued relevance and legal compliance.
Sensitive information will only be collected with the individual’s consent unless:

  • Required by law; or
  • Necessary to prevent or reduce a serious or imminent threat to life or health.

Sensitive information includes details about an individual’s:

  • Racial or ethnic origin;
  • Political opinions or affiliations;
  • Religious or philosophical beliefs;
  • Trade or professional memberships;
  • Trade union membership;
  • Sexual orientation or practices;
  • Criminal record;
  • Health or disability status;
  • Organ or tissue donation intentions; or
  • Any other information deemed sensitive under agency policy.

Use and Disclosure
BARS is required by law (under the National Vocational Education and Training Regulator Act 2011 (Cth) (NVETR Act) to disclose the personal information we collect to the National VET Data Collection kept by the National Centre for Vocational Education Research Ltd (NCVER). The NCVER is responsible for collecting, managing, analysing, and communicating research and statistics about the Australian VET sector.
BARS is also authorised by law (under the NVETR Act) to disclose personal information to the relevant state or territory training authority.  From time to time, we may also have to disclose your information as a result of a court order, subpoena, warrant or in the course of a legal proceeding or in response to a law enforcement agency request.
Personal information can only be used or disclosed for the original purpose for which it was collected. It may be used or disclosed for other or secondary purposes only when:

  • The individual has consented to its use or disclosure for the secondary purpose;
  • The secondary purpose is directly related to the primary purpose, and the individual would reasonably expect such use or disclosure;
  • The information suggests potential harm to self or others, or relates to a possible criminal act;
  • The information indicates a child protection concern; or
  • The use or disclosure is required or authorised by law.

If disclosure is necessary, a written record will be made detailing the nature and reason for the disclosure.
We may supply attendance, progress and participation information as well as a copy of outcome of results from training to the parties listed below.

  • Employers – if you are enrolled in training paid for by your employer
  • Workforce Australia Providers – if you are enrolled in training paid for by Workforce Australia
  • Regulatory Bodies – if you are enrolled in a course regulated by another organisation such as WorkCover QLD.

BARS will not supply personal information to any other party without authorisation.  

From time to time, you may be emailed or receive an SMS from us to confirm or change course bookings. BARS may use your personal information to provide direct marketing materials, updates or newsletters pertaining to current and past course enrolments or enquiries.  You may unsubscribe from marketing emails at any time by emailing support@barstraining.edu.au. 
We do not, and will not, sell your personal information to any other party.

Data Security
In compliance with the RTO Standards 2025 (Clauses 8.5 and 8.6), BARS implements documented information security procedures including user authentication protocols, data encryption, scheduled backups, and staff access limitations based on role requirements. All personnel handling student data receive annual training in data protection and privacy compliance.

BARS will take all reasonable steps to protect personal information from misuse, loss, unauthorised access, modification, or disclosure by using robust storage and security measures at all times. Information on collection is:

  • Stored in secure, password protected systems, learning management system and student management system;
  • Hard copies are stored in locked restricted access facilities; and
  • Monitored for appropriate authorised use at all times.

BARS Training Australia’s website, hosted on VentraIP servers, benefits from robust information security features. VentraIP provides enterprise-grade DDoS protection, secure Australian-based data centres, regular backups, and 24/7 network monitoring. SSL encryption is standard, ensuring data transmitted through www.barstraining.edu.au is secure. 

VentraIP also includes advanced firewall protection and malware scanning to safeguard against unauthorised access or data breaches. These features support compliance with data protection obligations under the RTO Standards 2025 and National VET Data Policy, ensuring student and business information remains protected and confidential.

Data Quality
All information will be recorded objectively, without bias or assumption. BARS will ensure all collected information is accurate, complete, and up to date. The staff member recording the information will be clearly identified on the record.
We take reasonable steps to correct personal information we hold in cases where we are satisfied that the personal information held is inaccurate, out-of-date, incomplete, irrelevant or misleading (that is, the information is faulty). This awareness may occur through collection of updated information, in notification from third parties or through other means.

Access and Correction
BARS confirms all individuals have a right to request access to their personal information held unless access is prohibited by law.  BARS will allow access to personal information 

  • Requests will be addressed within five (5) working days.
  • Access may be denied if:
    • It poses a serious threat to any individual;
    • It unreasonably impacts another’s privacy;
    • It is frivolous or vexatious;
    • It relates to ongoing legal proceedings and is not subject to discovery;
    • It would be unlawful or prohibited by law;
    • It would likely prejudice an investigation or enforcement activity;
    • An enforcement body requests denial for security purposes.

If access is denied, the reasons will be provided. To request access to personal records, individuals are to make a written request to support@barstraining.edu.au
BARS confirms that all individuals have the right to request correction of the information held at any time by making a written request to support@barstraining.edu.au
If information is found to be incorrect, it will be corrected. If BARS Training Australia disagrees that the information is incorrect, a statement from the individual will be attached to the record expressing their view.

Retention and Destruction of Information
BARS retains information for periods as required. Specifically for our RTO records, in the event of our organisation ceasing to operate the required personal information on record for individuals undertaking nationally recognised training with us would be transferred to the Australian Skills Quality Authority, as required by law.

Privacy Complaints
As required under the Information Privacy Act 2009 (Qld), BARS maintains a Privacy Complaints Register to track and document all issues raised.  Complainants will be notified in writing of the outcome of their complaint, including steps taken to resolve the matter and avenues for external review.
Individuals have the right to make a complaint about how their personal information has been handled under this policy. Complaints should be directed to the Managing Director by emailing ceo@barstraining.edu.au and will be managed in accordance with BARS Training Australia’s complaints and appeals procedures.
